Peer & Practice Assessment

Each year five percent of the College’s membership are randomly selected to participate in a Peer and Practice Assessment (PPA). The assessment is an educational opportunity designed to assess your knowledge, skill and judgement, and to help identify areas of strength and opportunities for improvement in your practice.

If you are selected for a PPA, a Peer and Practice Assessor will visit your clinic or place of practice.

You will be notified by email and provided with information on how to prepare for the assessment. Included in the email will be links to forms that you need to complete and return to the College prior to the deadline specified in your selection letter:

  • Self Evaluation Form provides information about your practice and is to be completed and returned to the College prior to the deadline provided in your letter. The information you provide will be beneficial to the Assessor assigned to conduct the assessment.
  • Non-Clinic Practice Assessment Questionnaire asks about the processes you follow in non-clinic settings.

The Assessor will contact you to set up a convenient time for the assessment.

Timing and Location of the Assessment

Members should plan their schedule to allow 2-3 hours for the assessment. Prior to the assessment, the Assessor will also give the member the opportunity to clarify any information and discuss concerns that the member may have about the assessment and the PPA report.

The bulk of the assessment will be conducted in your principal location. Most Denturists work in their own clinic that contains a reception area, office, laboratory, and operatory. There are exceptions where individuals are working in association with dentist(s), nursing homes, patients' homes or a variety of environments. If you provide most of your clinical service in a dentist's office, the Assessor will arrange to meet you at this location.

Under the Regulated Health Professions Act, 1991, the facility owner is obligated to make records and the facility that the Denturist uses in the course of his/her patient treatment available to the Quality Assurance Assessor for the purpose of review. The Quality Assurance Assessment of the facility is not lengthy and should not interfere with the regular operations of the facility.

There is no reason for the office to close or refrain from conducting a full slate of appointments.

Members who provide mobile service are expected to have an area of their residence dedicated as a professional office. This area will include a secure file cabinet for your records. The Assessor will arrange to meet you at your home, where they will:

  • Review your patient records,
  • Inspect the medical bag you use to carry your equipment to and from patient appointments (assuming it has been prepared to be taken with you to a patient's appointment),
  • Assess measures taken to ensure proper hygiene and asepsis, with particular attention to those steps taken to prevent patient cross-contamination.
  • Inspect the laboratory (in your home) and the separate area designated for sterilization

If you only conduct occasional appointments in a non-clinic practice setting throughout the year, the Assessor will:

  • ask questions about the processes you follow, and
  • may wish to see how you would prepare your bag for a visit

The Assessor will go through various areas of your practice with you and provide a report to the Quality Assurance Committee. The report covers the following areas:

  • Continuing Professional Development
  • Infection Control
  • Collection and Documentation of Patient Information
  • Assessment and Interpretation of Patient Needs and Requirements
  • Post-insertion Patient Education and Continuity of Care

Preparing for the PPA

The following documents will assist members in preparing for the Peer and Practice Assessment.

Duties of the Assessor

Assessors are selected by the Quality Assurance Committee. The Assessor is a member of the College. The regulatory authority of the College enables the Assessor to require members to fully cooperate and provide access to their practice and charts.

An Assessor will contact a member to set up a convenient time for their Peer and Practice Assessment. If extraordinary circumstances warrant a deferral from the practice assessment process, an application to the Quality Assurance Committee may be made.

After the PPA

Once the Assessor has completed the assessment, they will send a report to the Quality Assurance Committee. The member will receive a copy of the report and may provide a response within 30 days of receipt of the report. The Quality Assurance Committee reviews reports, any associated responses and may provide further direction or requests for follow-up action where deficiencies are noted.
